How to prepare a document before uploading it to an AI chatbot

A chatbot usually needs the situation, not the names and account details. Here is a practical way to prepare a working copy with placeholders while keeping the task clear.

Before uploading a document to an AI chatbot, make a separate copy, keep only the passage needed for your task, and replace unnecessary personal or business details with placeholders. If you cannot share the content, use a fully fictional example or an environment approved by your organization.

I would start with one question: what needs explaining or rewriting? Sometimes a whole document gets uploaded to fix two sentences. The chatbot gets an archive, and you get more preparation work.

Define the task first

“Help me with this document” is a broad request. Try something more specific: “Make this customer reply calmer,” “Shorten this paragraph,” or “Find wording that makes these conditions hard to understand.”

Then choose the smallest passage that lets you do the job. For example, changing the tone of a reply usually does not require the bank details on the next page.

Prepare a copy with placeholders

Here is the checklist I would use:

For a short passage, prepare a separate text excerpt on your own device. Do not send the original to the same external chatbot and ask it to clean the document first: the content will already have been shared.

OpenAI explicitly advises against entering sensitive information you would not want reviewed or used. That is a useful starting point, but you still need to consider the rules of the particular service and workspace. [1]

Example: responding to a delivery change request

This is a fully fictional illustration.

Original version: “Maria Sokolova, phone 000-000, order 123, wants to reschedule delivery. Draft a reply.”

Prepared version: “Customer A wants to move delivery to the following day. Write a polite reply acknowledging the request and explaining that the new date needs to be confirmed. Do not promise that the change has already been approved.”

The second prompt keeps the task while removing details it does not need. You can add the real details to the finished reply locally.

This replacement does not guarantee anonymity: an unusual job title, a specific event or a combination of details may still be recognizable. If uncertain, simplify the context or invent a different situation.

With PDFs, check more than the visible page

Adobe distinguishes removing visible content from sanitizing hidden data. A PDF can contain metadata, comments and hidden layers; removing those requires a separate cleanup step. [2]

Before uploading, check more than the appearance of your prepared file. For a simple task, it may be easier to rebuild the required passage as a separate text excerpt. If you need to share a PDF, use suitable content-removal tools and check the saved copy. This is not a promise that every prepared copy is automatically safe.

Why temporary chat does not replace preparation

According to OpenAI, temporary chats are not used to improve models while they remain temporary, but may be retained for up to 30 days for safety. [3] Missing from your history does not mean never stored.

A private mode is an additional setting, not permission to share any information. My final check before uploading is simple: do I need the whole passage, have I removed unnecessary details, and am I permitted to share this content with the chosen service?
